Key takeaways

  • Settle headcount, activities and timing first; entering your real group size filters out rooms that do not fit.
  • Friday night is charged at the weekend rate. Monday to Thursday costs less.
  • Calendars open 90 days ahead, and weekends and holiday eves go first, so book once the date is fixed.
  • Include 30 minutes to decorate and 30 minutes to tidy up in the booking.
  • Do not leave the cake to the very end; people start leaving early.

To choose a birthday party room, settle three things first: how many people, what you want to do, and when you start and for how long. Enter the date, start time, duration and group size on Gatherland and the results show the total for that slot and whether the room is free. Weekends and the evening before a public holiday book up first, so reserve once the date is fixed.

What should I decide before searching?

Group size sets the room

Headcount affects comfort as much as price. Some venues set a minimum headcount, and you pay for that number even if fewer turn up. Every venue also has a maximum. Enter your real group size when you search and rooms that are too small or too large drop out. If you are not sure who can come, run a date poll first.

Pick the room by what you want to do

Most birthday parties revolve around singing, games, a film or food. Start from the feature:

Time slot and length

Slots run in 30-minute steps, and some venues have a minimum number of hours. Leave time for decorating at the start and tidying up at the end, and include it in the booking.

How is a birthday party room priced?

A venue charges either per person per hour or per room per hour. With a big group, a per-room price is often easier to budget; with a small group, compare both kinds carefully. Also check:

  • The weekend rate applies Friday to Sunday, on public holidays and the day before a public holiday
  • Some venues have a child rate or group discounts
  • Add-ons, such as BBQ food sets
  • Some venues take a refundable security deposit, shown before you pay

For typical price levels by district, see the price index. Gatherland charges guests no booking fee, so the total you see is what you pay.

Can I bring a cake and decorate?

House rules differ: food, alcohol, and what you can stick to the walls. The safest approach is to message the host from the venue page before you book and ask:

  1. Can we get in early to decorate, and does that need its own booking?
  2. Is there a fridge for the cake?
  3. How should rubbish and clean-up be handled?
  4. Are there rules on noise or the time we must leave?

Decorating time is part of the booking. Where nothing can go on the walls, use balloon columns or a freestanding backdrop.

How should I plan the time?

A sample four-hour party from 7pm to 11pm, to adjust for your room and group:

Time What
19:00–19:30 Decorate, set out food, test the projector and mics
19:30–20:30 Guests arrive, eat and talk, an icebreaker game
20:30–21:45 Karaoke, console games or board games in small groups
21:45–22:30 Cake, group photo, birthday video
22:30–23:00 Pack up, bag the rubbish, check for belongings

Do not leave the cake to the very end, because people start leaving early. If the birthday is for a child, see the kids' party venue guide; for game ideas, see party games for groups.

From picking a date to party day

  1. 1

Four weeks before: date and headcount

List a few dates in the date poll, share it in the group chat and set a deadline.

  2. 2

Three weeks before: choose and book

Pick a room by size and activities, read the cancellation policy and deposit, then pay. The earlier you book a weekend, the more choice you have.

  3. 3

One week before: jobs and money

List what to buy and who does what in the party checklist, and work out each share with the cost splitter.

  4. 4

The day before: entry and directions

Confirm how you get in, then send friends the floor, unit and nearest MTR exit. Warn them that industrial building lifts can be slow.

  5. 5

On the day: arrive at the start

Decorate as soon as the slot begins, put the cake in the fridge, test the mics and projector, and wait for guests.

What should I do the week before?

  • Make a shopping and task list with the party checklist
  • Work out each person's share with the cost splitter
  • Confirm how you get in. Self check-in venues send entry instructions, such as a door code, by email and WhatsApp before the start. The exact floor and unit appear once the booking is confirmed.

Common mistakes

  • Booking only the party time: no time to decorate or tidy, so you run over or rush.
  • Assuming Friday is a weekday rate: Friday and the day before a public holiday are weekend rate.
  • Nowhere to keep the cake: ask about a fridge before booking, especially in summer.
  • Only one person has the entry details: if the booker is late, everyone waits at the door. Forward the details to a second person in advance.

What if plans change?

Each venue uses a Flexible, Standard or Strict cancellation policy, and the refund depends on how early you cancel. See the cancellation policy for the full table. A security deposit is always returned in full on cancellation. If Typhoon Signal No. 8 or above or a Black Rainstorm Warning is in force from three hours before the start, you can cancel for a full refund or move the booking within 30 days.

For more options, browse birthday party venues or search by size, such as party rooms for 10 people.

Frequently asked questions

How far ahead should I book a party room for a birthday?

Venue calendars on Gatherland open 90 days ahead. Friday to Sunday and the evening before a public holiday go first, so book as soon as you have a date. Self check-in venues can usually be booked up to 30 minutes before the start; staffed venues need about two hours' notice.

Is a Friday night party charged at the weekday rate?

No. Friday to Sunday, public holidays and the day before a public holiday are all charged at the weekend rate. Monday to Thursday slots are the way to keep the cost down.

Can I bring my own cake and decorations?

Rules vary by venue. Check the amenities and house rules on the venue page, and message the host from that page if anything is unclear before you book.

What happens if a typhoon signal is raised?

If Typhoon Signal No. 8 or above, or a Black Rainstorm Warning, is in force at any time from three hours before the start until the start, you can cancel for a full refund or move to another free slot at the same venue within 30 days.

How many hours should I book for a birthday party?

There is no fixed answer; it depends on the group and the plan. For a typical friends' party, around four hours covers karaoke, food and cake, plus 30 minutes at each end to decorate and tidy. Slots run in 30-minute steps and some venues set a minimum number of hours.
