Cancellation Policy

Each venue on Gatherland uses one of three cancellation policies: Flexible, Standard or Strict. The venue's policy is shown on the venue page and at checkout, before you pay. The security deposit is always returned in full when you cancel.

1. The three policies

1.1 The refund percentage applies to the amount you paid for the booking, including venue hire and any add-ons.

1.2 The security deposit is not part of this calculation. It is always returned in full on cancellation.

1.3 If you paid part of the booking with credit, the credit is returned to your account in the same proportion as the refund. See the Refund Policy.

2. How the timing is measured

2.1 Notice is counted from the start time of the booking, in Hong Kong time, to the moment you cancel on the platform.

2.2 A cancellation made exactly at a threshold gets the better refund. For example, under the Flexible policy, cancelling exactly 24 hours before the start gives a full refund.

2.3 Example. A booking under the Standard policy starts on Saturday at 7:00 pm. If you cancel on Thursday at 9:00 pm, that is 46 hours before the start, so you receive a 50% refund of the booking amount and your full deposit.

3. How to cancel

3.1 Cancel from the booking in your account. The refund you will receive is shown before you confirm.

3.2 A message to the host is not a cancellation. The booking stays active until you cancel it on the platform.

4. Requests not yet accepted

If a host-confirms venue has not yet accepted your request, you can withdraw it at any time. You have not been charged, so there is nothing to refund. If the host declines, or does not answer within 24 hours, the request ends and you are not charged.

5. If the host cancels

5.1 If a host cancels a confirmed booking, you receive a full refund, including the deposit and any credit used, whatever the venue's policy.

5.2 The host is charged a cancellation fee, as set out in the Host Terms.

6. Severe weather

6.1 If Typhoon Signal No. 8 or above, or a Black Rainstorm Warning, is in force at any time from three hours before the start of your booking until its start, you may choose to:

  • cancel for a full refund; or
  • move the booking to another free slot at the same venue within 30 days.

6.2 This applies whatever the venue's cancellation policy.

6.3 If a booking is cancelled under this rule, the host is not charged a cancellation fee.

6.4 Warnings are as issued by the Hong Kong Observatory.

7. No-shows and late arrival

7.1 If you do not turn up and have not cancelled, the booking is treated as cancelled with less than the minimum notice, so the booking amount is not refunded.

7.2 Your deposit is returned in the normal way, about 48 hours after the booking ends, unless the host makes a claim with evidence.

7.3 If you arrive late, the booking still ends at the time booked.

8. If something goes wrong

If a venue is seriously not as described, tell us within 24 hours of the booking's start time. We will review it and may refund in part or in full. See Trust and Safety.
