Put venue quotes on the same footing by including minimum charges and keeping refundable deposits separate from event costs.
How the calculation works
For hourly quotes, multiply the rate by the greater of the requested duration and the minimum charged duration. Per-person quotes also multiply by the guest count. A fixed package uses its quoted price. Apply the minimum venue spend, then add extra charges. The refundable security deposit is shown separately; its return depends on the booking terms.
Example: a three-hour booking with a four-hour minimum
At an illustrative HK$400 per room per hour, a four-hour minimum makes the venue charge HK$1,600. Adding HK$200 in fees gives an event cost of HK$1,800. With a HK$500 refundable deposit, cost plus deposit is HK$2,300. For 12 guests, the event cost is HK$150 each. These numbers are a worked example, not a market quote.
