How much does a party room cost? Pricing models, weekend rates, minimums and deposits

Party rooms are priced in one of two ways: per person per hour, or per room per hour. The total then depends on whether the weekend rate applies, the minimum hours, the minimum headcount, any child rate, group discounts, add-ons and a security deposit. How are party rooms priced?

Per person per hour

Each guest is charged for each hour. More people means a higher total. This suits smaller groups, or groups whose numbers may change.

Per room per hour

The room has one hourly price regardless of how many come, up to the maximum. The more people, the lower the share each pays. This suits big parties.

How is a total built?

Search results do the sum for you, but knowing how it is built makes comparing venues easier:

    Base hire

    Per person: hourly rate × guests × hours. Per room: hourly rate × hours. Hours run in 30-minute steps.

    Weekday or weekend rate

    Friday to Sunday, public holidays and the day before a public holiday use the weekend rate, so the same room can cost differently on different days.

    Minimum hours and headcount

    You cannot book less than the minimum hours. At per-person venues, a group below the minimum headcount is charged for the minimum.

What changes the total?

Weekday or weekend rate

Friday to Sunday, public holidays and the day before a public holiday are charged at the weekend rate. For example, Christmas Day, 25 December 2026, is a public holiday, so Thursday 24 December is charged at the weekend rate too.

Minimum hours

Some venues set a minimum number of hours, and shorter bookings are not accepted. Slots run in 30-minute steps.

Minimum headcount

Some per-person venues set a minimum headcount. If fewer people come, you are charged for the minimum.

Child rate

Some venues charge less for children. This matters most for kids' parties; see the kids' party venue guide.

Group discounts

Some venues give a discount once the group reaches a certain size.

Add-ons

Extras such as BBQ food sets can be added when you book; see party rooms with BBQ.

Security deposit

Some venues take a refundable security deposit, shown before payment. It is returned about 48 hours after the booking ends unless the host reports damage, overtime or extra cleaning, with evidence.

Say 6 adults and 2 children book 4 hours on a Saturday.

Venue A: per person per hour

  • Weekend adult rate: A per person per hour
  • Child rate: K per child per hour
  • Minimum headcount: 8

Venue hire = (6 × A + 2 × K) × 4. Eight people meets the minimum, so there is nothing extra. If only 6 people end up coming, you are still charged for the minimum of 8.

Venue B: per room per hour

  • Weekend room rate: R per hour
  • BBQ food set add-on: S

Total = R × 4 + S, however many come (within the maximum). Each person's share = (R × 4 + S) ÷ 8.

Which is better? Compare the two totals directly. The bigger the group, the more likely Venue B works out cheaper per head; if numbers are uncertain, factor in Venue A's minimum headcount. Any security deposit is collected at payment and returned afterwards.

How do I see the real total?

  2. Results show each venue's total for that slot and whether it is free
  3. On the venue page, check add-ons, deposit and cancellation policy
  4. Every line is shown again before you pay

The full amount is paid online at booking. The platform holds the money and releases it to the host 48 hours after the booking ends.

Flexible gives a full refund 24 hours or more before the start and half between 6 and 24 hours. Strict gives a full refund 7 days or more before and half between 72 hours and 7 days. The deposit is always returned in full on cancellation. See the cancellation policy.

How can I save money?

  • Book Monday to Thursday to avoid the weekend rate
  • Compare per-person and per-room venues using your real headcount
  • Look for group discounts with a larger group

Common mistakes

  • Comparing headline prices: they leave out the weekend rate, minimum headcount and add-ons
  • Assuming fewer people is always cheaper: at a per-room venue, two people pay the same hire as eight
  • Forgetting set-up and clean-up: both must fit inside the booking, and overtime can be claimed against a deposit
  • Getting the weekend days wrong: the day before a public holiday is at the weekend rate, even on a Thursday
  • Dropping people late: at a per-person venue with a minimum headcount, you still pay for the minimum
