Check venue equipment on arrival
Test the agreed equipment with the devices you will actually use. Note connections, accessories and any problems. Contact the host about faults instead of opening equipment or altering electrical installations.
How to use it
- List required equipment before booking and bring the relevant devices and agreed accessories.
- Record the outcome, report problems and confirm the fallback.

Choose checks that match the activity
For a meeting, check display and audio connections. For a games gathering, confirm controllers and agreed displays. Remove unused items; the list is not a demand for extra equipment.
Record an issue and who will resolve it
Record the equipment, test and time of reporting. Agree any fallback with the host rather than assuming a replacement or compensation is already arranged.
Continue planning
- Compare venue quotes
Compare charging basis, minimums, extras and deposits for the same event.
- A gathering run sheet
