Outdoor court session brief
Record the actual facility and confirmed session arrangement before assigning the group programme. Use the venue's actual booking or use conditions for the session; a listed court count or opening period is not a confirmed allocation to your group.

Keep the facility and the session connected
A venue can contain several activity areas with different operating periods. Put the actual court or area beside the session record and confirm any current partial closure. Keep the organiser's confirmation reference in a private copy; the shared brief only needs the arrangement and the role responsible for checking it.
Give shared items a return owner
For every item your group brings, assign who carries it in and who collects it at the end. Keep setup and collection within the agreed session arrangement. Tell a late arrival how to reach the receiving role, and use one message owner if the location or time changes.
