Meeting follow-up action log
Meeting notes explain what was discussed. An action log makes the follow-up visible: one task per row, with an owner, a due date and a completion condition. Keep the decision distinct from the work needed to carry it out.
How to use it
- Read back each action before the meeting ends and confirm that its owner understands the deliverable.
- Mark an undecided deadline as “to confirm” and identify who will confirm it.
- Update progress and blockers during follow-up, then record the evidence of completion before closing an action.

Describe the deliverable
“Follow up on the venue” might mean obtaining a written quote for the date or checking whether cleaning is included. Those are different deliverables, even if one person owns both. Separate rows make completion easier to verify.
Name the person responsible for driving the action. Others may help, but “everyone” does not identify who will check progress and bring the result back.
Keep blockers and decisions visible
An unfinished action may be waiting for a quote, a document or another decision. Record that dependency and agree when to follow up instead of repeatedly moving the due date without explanation.
On completion, record a document location or a brief confirmation. Include only what the team needs; keep private phone numbers, entry codes and other sensitive details in an appropriate private channel.
