Presentation version and playback log
Keep the accepted presentation version separate from drafts and replacement requests. Record who approved the file, who will operate it and what was checked on the actual playback arrangement. A file name alone does not show that the operator received the intended version or that the saved file opens as expected.
How to use it
- Identify the accepted version and the person authorised to replace it.
- Check the saved file on the actual agreed playback arrangement.
- Record replacements and operator handover in the same log.

Open the CSV in Excel, Numbers or Google Sheets. Save a copy before editing.
Treat a replacement as a new handover
If a speaker sends another file, record whether it replaces the accepted version or adds material. Tell the operator which copy to use and repeat the relevant playback check. Keep superseded references labelled so they are not silently selected again.
Check the output needed by this session
The check may cover the opening slide, a linked clip or the final page needed for questions. Record the actual check rather than a generic “tested” tick. Put any unresolved playback issue in the equipment sheet before the session begins.
