Event display submission log
List each display item separately: a slide, a poster, a tabletop sign or a physical sample may need different preparation. Record the actual output requirement and the agreed location rather than use a universal size. The organiser should confirm the venue’s display arrangement before asking someone to produce or install an item.
How to use it
- Identify the item and its intended audience task.
- Agree the actual output and location requirements.
- Track the accepted version, setup owner and removal handover.

A file and a displayed item are different states
A submitted file still needs review, production and installation where relevant. Record which state has been reached and who owns the next action. Do not mark a physical display complete merely because an email attachment arrived.
Plan the removal
Record what must be returned and what leaves with the organiser. Confirm the removal time within the actual session and pass it into the run sheet. If a display changes, update its version and receiving role together.
Continue planning
- Presentation version and playback log
Track the accepted presentation file and the actual playback check.
- Room turnaround plan
Plan the transition between two approved uses of the same room.
- A gathering run sheet
Coordinate setup, activities and handover with timings and clear responsibilities.
