Room turnaround plan
A turnaround is the work between the end of one session and the readiness of the next. Record what remains, what is removed, what is reset and who confirms the new setup. Use the actual room and session arrangements; a change of layout or equipment may need a venue decision before it becomes part of the plan.
How to use it
- Identify the two approved room uses and the available transition interval.
- Assign removal, reset and readiness checks separately.
- Check the transition against the programme timeline.

A room is not ready when one task is done
Removing chairs can finish while equipment or materials still need attention. Define the readiness check for the next activity and give it an owner. Keep the current layout requirement with the task list, not only in a previous message.
Resolve shared dependencies
If the next room use depends on one operator or one shared item, put that dependency in the plan. Confirm when it transfers and whether another task competes for it. The run sheet should show the handover before the next segment starts.
Continue planning
- A gathering run sheet
Coordinate setup, activities and handover with timings and clear responsibilities.
- Community-event equipment brief
Connect each programme task to equipment, setup responsibility and approval.
- A cleanup and handover sheet
Assign cleanup tasks and check equipment and venue handover before leaving.
