Community-event equipment brief
Start with what each part of the programme needs to do: a speaker must be heard, a presentation must be visible, and a workshop needs suitable work surfaces. Then record the actual equipment and quantity requested. A listed item may require a separate request, an operator or approval for the intended use. Distinguish equipment the venue confirms from items the organiser brings.
How to use it
- List each programme task and the room where it happens.
- Ask which equipment is available for that room and how its use is approved.
- Assign setup, operation and restoration, then allow time for a check.

Describe the task before choosing hardware
A microphone count alone does not describe the event: note whether people speak from one position or move between stations. For projected material, identify who brings the presentation device and who checks the connection. Confirm the actual arrangement with the venue rather than assuming compatibility.
Return the room as agreed
Keep a record of what the venue supplies and who receives it. Allocate time to return equipment and restore the room within the approved session. If an item is unavailable, revise the programme or confirm an alternative rather than silently replacing the request.
